USA Visa Letter of Invitation Request
REQUEST LETTER
As you prepare for your attendance at the upcoming 2025 Annual Meeting in the United States, we want to ensure a smooth visa application process for you. Please carefully review the following guidelines and information regarding the visa invitation process:
- Passport Expiration and Entry Requirements: Before proceeding, please check the expiration date on your passport. If it is nearing expiration, we strongly advise you to apply for a renewal without delay. The U.S. State Department is currently experiencing a high volume of
requests, so early action is recommended to avoid any delays (3-5 months prior to the event at a minimum). Additionally, you should thoroughly review entry and visa requirements to ensure compliance with any country-specific conditions
that may apply. Contact the US embassy or consulate in your home country.
- Visa Letter of Invitation: Should you require a Visa Letter of Invitation from PS, please complete the Visa Letter Request Form provided. If you have any queries or need assistance with the form, please do not hesitate to contact our Member Services team.
- Completion of Form: It is important that you accurately complete every field in the Visa Letter Request Form. Incomplete submissions may result in processing delays. Your request is important to us, and the form will be processed within 3-5 business days.
- Letter of Sponsorship/Guarantee: PS will not issue any Letter of Sponsorship or Guarantee required by immigration. It is the participant’s responsibility to obtain such documents if necessary.
- Cancellation Policy: Please note that PS will not refund registration fees for cancellations due to visa rejections or the participant's inability to enter the country.
- Liability Disclaimer: While we strive to provide accurate information and assistance, PS cannot be held liable for any loss or damage arising from the use of information provided in this page, including indirect or consequential loss or damage.
- Policy Guidelines: Please be aware of PS’s policy regarding the issuance of Visa Letters of Invitation:
- Visa Letters are only provided to accepted speakers, poster presenters, and fully paid Attendees of the Annual Meeting.
- The Visa Letter will be issued specifically for the 2025 Annual Meeting, and no other documentation will be provided for visa applications.
- Processing typically takes 3-5 business days.
- If a hard copy of the letter is required, a fee of $25USD will be charged to cover courier delivery costs, and this fee will be added to your conference registration.
