Accessibility and AccommodationsUpdated April 4, 2024 GENERAL AUDITORY VISUAL MOBILITY OTHER QUESTIONS
PS is committed to making our events accessible and welcoming for everyone. We strive to host inclusive events that enable everyone, including individuals with disabilities, not just to attend, but to engage fully. We will continue to add information as it becomes available. Please check back often as the Annual Meeting nears. Typical requests that extend beyond captions include sign language interpretation, note-taking, a ramp to the stage, a lapel mic for your presentation, a seat on the stage, description of visuals, access to a quiet space, or wheelchair access throughout the venue. How do I request accessibility adjustments? R equests for accessibility support must be made by August 31, 2024 . Please register for the Annual Meeting and submit your requests by this deadline to ensure the Society has sufficient preparation time to provide the necessary assistance . However, please note that not all requests may be accommodated due to limited resources, time constraints, availability of specialized services or the scope of the request . Where is the accessibility desk/coordinator located? For a ccessibility inquiries, please visit the PS registration desk located on the 5th floor of the New York Marriott Marquis. A representative will be present onsite to oversee and coordinate accessibility services. Can I bring support guest/companion to assist me during the Annual Meeting? Yes, you are welcome to bring a support guest or companion to assist you with accessibility needs at the annual meeting . All travel expenses, including guest room fees, will be your responsibility. Registration for your support guest is required, and it is free. Please indicate this need when you register for the meeting or by contacting Member Services at info@psychonomic.org. What services are not provided by PS?
PS cannot provide:
The Keynote Address and all spoken sessions will have live captioning through Microsoft PowerPoint. Speakers will use microphones for all sessions. Session organizers' instructions request to only take questions from the audience through a microphone. Are session transcriptions available? A professional transcription of the keynote address will be made available after the meeting. No other talks will be professional transcribed. Does PS provide sign language interpreters and voicers? PS will evaluate any requests for onsite interpretation that are received by August 31.
All visual information presented during the keynote and plenary sessions will be communicated verbally. The abstract book/program will be available in September in Microsoft Word for use with screen readers. Are service animals permitted at the Annual Meeting? The Marriott permits service animals trained specifically to assist a person with disabilities and in keeping with the Americans with Disabilities Act. A dedicated relief area for service animals is not available inside the hotel. The hotel directs service dogs to relief themselves outdoors. As a presenter, how can I make my research more accessible to my colleagues? To enhance the accessibility of PowerPoint presentations for all attendees, including those with disabilities, presenters can adopt the following recommendations:
By implementing these strategies, presenters can make their presentations more inclusive and ensure that all attendees, regardless of their abilities, can fully
participate
and benefit from the content being shared.
Is there designated accessible seating? Accessible seating will be available in the front of all rooms as well as designated spaces appropriate for wheelchairs. All accessible seating is based on capacity and provided first come first served. Unclaimed accessible seating may be opened to the general audience. What mobility devices are allowed at the Annual Meeting? The use of your own w heelchairs, walker, cane, or crutches are allowed and reasonably accommodated. For safety reasons, requests to use other power-driven mobility devices will be reviewed on a case-by-case basis. If you would like to make a request of this nature, please do so before August 31 . Does PS offer mobility device rental? No mobility equipment rental of any kind is offered, and PS does not provide push services for attendees. However, if you bring your own personal attendant, the Society will provide a Guest Pass at no cost. Please indicate this need when you register for the meeting or by contacting Member Services at info@psychonomic.org . Where can I charge my medical or mobility device during the event?
Charging points are available throughout the venue. Please note: the voltage requirements in the US may be different from what you normally use for your device. PS is
unable to provide extension leads or adapters.
What do the hotels offer in terms of elevators, restrooms, and clear pathways?
New York Marriott Marquis Sheraton New York Times Square Are there accessible washrooms at the Annual Meeting? Yes, accessible washrooms are available across the venue. The locations will be shown on the venue map when it is published.
Will there be a nursing, sensory, or quiet room at the Annual Meeting? PS will provide a Wellness Room designated for meditation, prayer, nursing and sensory-friendly needs. The location of this Wellness Room will be shown on the venue map when it is published. Are there all-gender washrooms at the Annual Meeting ? Yes, there is one all-gender washroom at the Marriott. The location will be shown on the venue map when it is published. Is strobe lighting in use during the Annual Meeting?
Strobe lighting will not be in use in the opening session/keynote address. It is possible that it strobe lighting could be part of a scientific presentation.
I have a severe food allergy and/or dietary restriction. What accommodations can I receive?
PS has made efforts to provide
suitable food options during receptions where food is served
and has coordinated with the hotel to meet various dietary needs. Nonetheless,
in large-scale catering
environments, cross-contamination risks
exist. Attendees with severe food allergies and/or special dietary restrictions can bring their own food to the Annual Meeting. Is the meeting held in a fragrance-free environment? The Annual Meeting is not held in a fragrance-free environment. Is there a designated safe spot near the venue for drop-offs and pick-ups if required? Yes, attendees can be picked up or dropped off at the main hotel entrance/portico. The location will be shown on the venue map when it is published.
If at any point that you recognize a need to request accommodations for the Annual Meeting, please follow the process described above. It is not mandatory for you to share details about your disability (whether it's related to mobility, hearing, vision, sensory, etc.) or your identity (such as being Disabled, Deaf, Autistic, Chronically Ill, Mentally Ill, etc.). However, you're encouraged to provide this information if you feel it will impact the subsequent conversation about your requirements for access and accommodations.
