Accessibility and Accommodations

PS is committed to making our events accessible and welcoming for everyone. We strive to host inclusive events that enable everyone, including individuals with disabilities, not just to attend, but to engage fully. We will continue to add information as it becomes available. Please check back often as the Annual Meeting nears.

Typical requests that extend beyond captions include sign language interpretation, note-taking, a ramp to the stage, a lapel mic for your presentation, a seat on the stage, description of visuals, access to a quiet space, or wheelchair access throughout the venue.


General

How do I request accessibility adjustments?

  • Requests for accessibility support must be made by August 31, 2025.
  • Please register for the Annual Meeting and submit your requests by this deadline to ensure the Society has sufficient preparation time to provide the necessary assistance.
  • However, please note that not all requests may be accommodated due to limited resources, time constraints, availability of specialized services or the scope of the requests.

Where is the accessibility desk/coordinator located?
For accessibility inquiries, please visit the PS registration desk. A representative will be present onsite to oversee and coordinate accessibility services.

Can I bring a support guest/companion to assist me during the Annual Meeting?
Yes, you are welcome to bring a support guest or companion to assist you with accessibility needs at the annual meeting. All travel expenses, including guest room fees, will be your responsibility. A Companion Pass for your support guest is required, and it is free. Please indicate this need and name of your companion when you register for the meeting or by contacting Member Services at info@psychonomic.org

What services are not provided by PS?
PS cannot provide:

  • chaperones to and from sleeping rooms
  • devices that are personal or individually prescribed, such as wheelchairs, prescription lenses or hearing aids
  • services of a personal nature, such as assistance in eating, toileting or dressing; the pushing of wheelchairs; or the carrying of personal materials
  • connections to soundboards, headphones, assistive technology devices, extension leads, chargers or adapter
  • guides or interpreters for after hours or offsite events such as the Student Social

Auditory

The Keynote Address and all spoken sessions will have live captioning through Microsoft PowerPoint.

Speakers will use microphones for all sessions. Session organizers' instructions request to only take questions from the audience through a microphone.

Are session transcriptions available?
A professional transcription of the keynote address will be made available after the meeting. No other talks will be professional transcribed.

Does PS provide sign language interpreters and voicers?
PS will evaluate any requests for onsite interpretation that are received by August 31.


Visual

All visual information presented during the keynote and plenary sessions will be communicated verbally. The abstract book/program will be available in September in Microsoft Word for use with screen readers.

Are service animals permitted at the Annual Meeting?
The Sheraton Denver Downtown Hotel permits service animals trained specifically to assist a person with disabilities and in keeping with the Americans with Disabilities Act. A dedicated relief area for service animals is not available inside the hotel. The hotel directs service dogs to relief themselves outdoors.

As a presenter, how can I make my research more accessible to my colleagues?
To enhance the accessibility of PowerPoint presentations for all attendees, including those with disabilities, presenters can adopt the following recommendations:

  • Use High Contrast Colors: Ensure text and background colors have high contrast to make slides easier to read. Avoid color combinations that are difficult for color-blind individuals, such as red/green.
  • Simple and Clear Fonts: Use large, sans-serif fonts like Arial or Calibri for better readability. Keep the font size at a minimum of 24 points for body text and larger for headings.
  • Avoid Clutter: Keep slides uncluttered with minimal text and clear, concise bullet points. This helps attendees with cognitive disabilities to focus on the key points without being overwhelmed.
  • Descriptive Titles and Headers: Use descriptive slide titles and headers to provide context and help attendees follow the structure of the presentation.
  • Use Alt Text for Images: Provide alternative text (alt text) for images, charts, and graphs. Alt text should concisely describe the image's purpose or content, aiding those using screen readers.
  • Meaningful Link Text: Instead of displaying full URLs for hyperlinks, use meaningful text that describes the link's destination. This makes the presentation more navigable for those using screen readers.
  • Ensure Video and Audio Content is Accessible: Use captions and transcripts for videos and audio clips to accommodate attendees with hearing disabilities. Ensure any multimedia content is integrated in an accessible manner.
  • Clear and Consistent Layouts: Use a consistent slide layout and design throughout the presentation to help attendees with cognitive disabilities follow along more easily.
  • Verbal Descriptions: When presenting, verbally describe the content of slides, especially for images, charts, and graphs. This assists attendees who are blind or have low vision in understanding the visual content.
  • Provide Materials in Advance: If possible, provide access to your PowerPoint presentation and any other materials in advance. This allows attendees to review materials at their own pace and using their preferred technology.
  • Check Accessibility: Utilize PowerPoint's built-in accessibility checker to identify and resolve any potential issues within your presentation. This tool can guide you in making your presentation more accessible.

By implementing these strategies, presenters can make their presentations more inclusive and ensure that all attendees, regardless of their abilities, can fully participate and benefit from the content being shared.


Mobility

Is there designated accessible seating?
Accessible seating will be available in the front of all rooms as well as designated spaces appropriate for wheelchairs. All accessible seating is based on capacity and provided first come first served. Unclaimed accessible seating may be opened to the general audience.

Does PS offer mobility device rental?
No mobility equipment rental of any kind is offered, and PS does not provide push services for attendees. However, if you bring your own personal attendant, the Society will provide a Companion Pass at no cost. Please indicate this need when you register for the meeting or by contacting Member Services at info@psychonomic.org.

Where can I charge my medical or mobility device during the event?
Charging points are available throughout the venue. Please note: the voltage requirements in the US may be different from what you normally use for your device. PS is unable to provide extension leads or adapters.

What do the hotels offer in terms of elevators, restrooms, and clear pathways?
The Sheraton features mobility accessibility in their use of elevators, in accessible guestrooms with vanities, shower, restroom, electrical outlets, guestroom door locks and viewports at wheel-chair accessible heights, and in public areas of the hotel including the business center, fitness center, and restaurants. Visual and audio aids include TTY/TTD communication system access, doorbells, flashing door knockers, and closed caption TVs in guestrooms.

Are there accessible washrooms at the Annual Meeting?
Yes, accessible washrooms are available across the venue. The locations will be shown on the venue map when it is published.


Other

Will there be a nursing, sensory, or quiet room at the Annual Meeting?
PS will provide a Wellness Room designated for meditation, prayer, nursing and sensory-friendly needs. The location of this Wellness Room will be shown on the venue map when it is published.

Are there all-gender washrooms at the Annual Meeting?
Yes, there is one all-gender washroom at the Sheraton. The location will be shown on the venue map when it is published.

Is strobe lighting in use during the Annual Meeting?
Strobe lighting will not be in use in the opening session/keynote address. It is possible that it strobe lighting could be part of a scientific presentation.

I have a severe food allergy and/or dietary restriction. What accommodations can I receive?
PS has made efforts to provide suitable food options during receptions where food is served and has coordinated with the hotel to meet various dietary needs. Nonetheless, in large-scale catering environments, cross-contamination risks exist. Attendees with severe food allergies and/or special dietary restrictions can bring their own food to the Annual Meeting.

Is the meeting held in a fragrance-free environment?
The Annual Meeting is held in a fragrance-free environment.

Is there a designated safe spot near the venue for drop-offs and pick-ups if required?
Yes, attendees can be picked up or dropped off at the main hotel entrance/portico. The location will be shown on the venue map when it is published.

Navigating through the Hotel

There are two sides to the Sheraton Denver Downtown Hotel: the Tower Building and the Plaza Building. The Sheraton Hotel has a Skybridge on the Second Floor of each building that allows attendees the ability to transition between both buildings of the hotel. There are also two alternative options to get between the two buildings. The first option is through the main hotel entrance on the Ground/Street Level. Attendees can take the elevator to the ground floor of the hotel and simply walk across the street to reach the other side of the hotel. The second option is through the Concourse Level in the Plaza Building. Attendees in the Plaza Building can take an elevator down to the Concourse Level, follow signs for the Tower Building, and take the elevator up to the Street Level of the Tower Building.

Session Rooms

All session rooms and aisles have been designed to be wheelchair accessible to ensure easy mobility for all attendees. Dedicated spaces will be reserved within each session room to accommodate wheelchairs comfortably and we will also reserve a few seats in the first row, specifically for visually or hearing-impaired attendees.

Restrooms

Throughout the Sheraton Denver Downtown Hotel, attendees will find multiple restrooms that are ADA compliant. These restrooms are equipped with features such as grab bars and accessible toilet facilities to accommodate the specific needs of our attendees. In addition, there is a gender-neutral restroom, ensuring that all attendees can feel comfortable and respected during their stay.

Elevators

The Sheraton Denver Downtown Hotel is equipped with elevators on each floor, ensuring attendees have access to every level of the building. The elevator buttons are labeled with large numbers and feature Braille and raised lettering, providing assistance to visually impaired individuals. In addition, all elevators within the hotel are designed to accommodate wheelchair users and each elevator is equipped with sturdy handrails, ensuring added safety and support for all guests.


Questions

If at any point that you recognize a need to request accommodations for the Annual Meeting, please follow the process described above. It is not mandatory for you to share details about your disability (whether it's related to mobility, hearing, vision, sensory, etc.) or your identity (such as being Disabled, Deaf, Autistic, Chronically Ill, Mentally Ill, etc.). However, you're encouraged to provide this information if you feel it will impact the subsequent conversation about your requirements for access and accommodations.
