Overview

Poster sessions are a forum for information exchange that allows attendees to quickly skim your material, and allows presenters to engage interested viewers in direct, informal, one-on-one discussion. Unlike a spoken presentation where research is presented to an audience of multiple people, a poster presentation can be more conversational. The poster itself should be self-explanatory, allowing viewers to quickly discern the most important points of your research and encouraging further dialogue.

The 2021 annual meeting includes two poster sessions. Poster sessions have been scheduled on Friday and Saturday (Nov 5-6) from 12 Noon – 1 PM U.S. Central Time. Each poster presenter is assigned to one poster session.

Poster presentation times were sent to poster presenters via email on September 21, 2021. If you did not receive a notification email, please contact Bri Johnson at bjohnson@psychonomic.org.

All poster presenters are required to upload a PDF of their poster to the virtual meeting site between October 12-15, 2021. Presenters are also highly encouraged (but not required) to record and upload a short poster presentation video (up to five minutes long). Poster requirements and video recording instructions are included below. Poster presenters will receive an email notification when the site is open for submissions.

Posters and poster presentation videos will be available for early, on demand viewing beginning October 18, 2021. They will remain available until February 7, 2022.

Submission Deadline: October 15, 2021

All poster PDFs and poster presentation videos must be uploaded to the virtual meeting site between October 12–15, 2021. You will receive an email notification when the site is open for submissions.

Any posters not uploaded by October 15, 2021 may be withdrawn from the program.

All poster presenters are also required to be online and present for the virtual poster session to which they have been assigned. Poster presentation times were sent to poster presenters via email on September 21, 2021. If you did not receive a notification email, please contact Bri Johnson at bjohnson@psychonomic.org.

Poster sessions will be hosted on Remo. Poster presenters will receive an email the week of October 25th, which will provide instructions for using Remo and tips for making the most of the poster presentation experience.

All poster PDFs and poster presentation videos will be available for early, on demand access beginning October 18, 2021. They will remain available until February 7, 2022.

Submission Instructions

The virtual meeting site will be open for submissions from October 12-15, 2021. All poster presenters MUST upload their materials at that time. Poster presenters are required to upload a poster PDF. Poster presentation videos (up to 5 minutes long) are not required but are highly encouraged.

Posters must be uploaded as PDFs. Poster presentation videos must be uploaded as MP4 files.

An email with instructions for uploading poster PDFs and poster presentation videos will be sent to all poster presenters when the website opens for submissions. In the meantime, please prepare your poster PDF and poster presentation video according to the instructions included under Poster Requirements and Video Recording Instructions.

The submission link will also be posted HERE beginning October 12, 2021.

Poster Requirements

Title/Banner

Prepare a banner for the top of your poster indicating the title, authors, and affiliations. Lettering in the label should be at least 1 in (2.54 cm) high.

Abstract Number

Your abstract number can be found in the Draft Abstract Book. (To search the Abstract Book, download the file as a PDF and use control-F or command-F.) It was also included in your poster presentation confirmation email that was sent on September 21, 2021.

Presenter and Co-author Names

The poster should include the names and affiliations of all the contributing authors included with the abstract in the program. The name and affiliation of the presenting author should be clearly indicated.

Illustrations

Figures should be designed to be viewed from a variety of screens, using clear, visible graphics. Although each figure should illustrate no more than one or two major points, figures need not be simple. The main points should be clear without extended viewing, but detail can be included for the knowledgeable viewer.

Statistics

Please follow the Psychonomic Society Statistical Guidelines . Effect sizes should be reported and error bars with appropriate labels should be included on all graphs.

Layout

Arrange materials in columns rather than in rows. It is easier to scan a poster by moving systematically along it rather than by zigzagging back and forth in front of it. An introduction should be placed at the upper left and a conclusion at the lower right, both in large type. The sequence of illustrations should be indicated with numbers or letters at least 1-inch high, preferably in bold print.

You may find it convenient to have a separate section describing methods, but it is quite effective to include this information as part of the data presentation, as described above. Carefully chosen photographs of apparatus, or schematic diagrams of procedures, can convey a great deal of information about methods without much text. Most viewers will tend to skim or ignore long textual passages.

If you are recording audio or audio/video to accompany your poster, it is recommended that you leave approximately the bottom 15-20% of each slide free of text/graphics to allow for the captions at the bottom of the screen. Text and/or graphics that run closer to the bottom of a slide risk being covered by captions.

Video Recording Instructions

While not required, each poster presenter is highly encouraged to upload a short (up to five minute) video of their poster presentation. This will help maximize the number of people who will see your research, as the virtual poster hall associated with the virtual meeting site will be open for early, on demand access beginning October 18, 2021.

Short videos are well received and a great way to communicate your research with more meeting attendees than you might be able to interact with during your poster session.

  • Video File Format: MP4
  • Video Set-Up: A short (up to five minute) video comprised of a rotating PowerPoint deck with audio or audio/visual accompaniment. For useful tips on how to make the best recordings at home, use the Tips & Tricks suggestions below.
  • Number of slides: Up to 5 content slides. The title slide does not count against your 5-slide limit. All screen formats must be in a 16:9 ratio. The 2021 Annual Meeting PowerPoint template is available for download here. It has been preformatted to fit all recording requirements.
  • Length of Recording: Your video may be up to 5 minutes long. Videos that significantly exceed the maximum length may be removed.
  • Each slide must include your abstract number and your last name. Your abstract number can be found in the Draft Abstract Book. (To search the Abstract Book, download the file as a PDF and use control-F or command-F.) It was also included in the poster presenter confirmation email that was sent on September 21, 2021.
  • Download and use the 2021 Annual Meeting PowerPoint template for your presentation. It has been preformatted to fit all recording requirements.
  • Download and use the 2021 Annual Meeting Virtual (Zoom) Background when recording your video.
  • To improve accessibility, please caption your video. Suggestions for how to caption your video are listed below. It is recommended that you leave the bottom 20% of each slide free of text and graphics, to help ensure that captions do not hide any of the information being presented on your slides.

Remember that even with your poster presentation video, you must still be present for your assigned poster session. Poster sessions are scheduled for Friday and Saturday (November 5-6) from 12 Noon – 1 PM U.S. Central Time and will be hosted on Remo. You will receive a separate set of instructions during the week of October 25th, which will explain how to use Remo and how to make the most of your experience as a poster presenter.

Tips & Tricks for Recording at Home
When recording your video, please:

  • Ensure you are in a quiet location with limited background noise, so we can hear you clearly.
  • Use the 2021 Annual Meeting Virtual Background.
  • Determine if you are using headphones or not for clear recording quality.
  • Ensure you have strong internet bandwidth.
  • Position yourself facing a window if possible. Do not have a window behind you. If there are bright lights on behind you, please turn them off.
  • Look into the camera lens when speaking whenever possible.
  • If possible, or helpful, ask someone to do a test call from the location you will be recording in.

Accessibility & Captioning Instructions

The Psychonomic Society is committed to diversity and inclusion and to make the annual meeting as inclusive as possible. With this goal in mind, all video presentations should be captioned. You may use any captioning software or tool. If you are looking for a recommendation for a free captioning tool, we recommend Kapwing. Kapwing is an audio to text algorithm with editing capabilities.

Please make your presentation accessible to those using screen readers:

  • Provide informative, unique page titles.
  • Use headings to convey meaning and structure.
  • Make link text meaningful.
  • Write ALT text for images which are meaningful.
  • Create transcripts and captions for multimedia.
  • Keep content clear and concise.
  • Presenters should choose color systems to maximize contrast and access for those with low vision, rather than emphasize aesthetics...although it is possible to have both.

Day of Presentation

All presentation times are in U.S. Central Time (CT). Poster sessions take place on Friday and Saturday (November 5-6), from 12 Noon to 1 PM. Each poster presenter has been assigned to one poster session.

Please refer to the Draft Abstract Book or the email you received on September 21, 2021, for the date of your assigned poster session. (To search the Abstract Book, download the file as a PDF and use control-F or command-F.) 

  • Join your live poster session by 11:45 AM U.S. Central Time (15 minutes early) in order to make sure you are set and ready to go with your poster by the time the poster session begins.
  • Have your poster PDF pulled up on your computer screen and easily accessible. This way you can share your screen and refer to your poster when talking with visitors.
  • Use the 2021 Annual Meeting Virtual Background.


All live poster sessions will be hosted on Remo. You will receive an email during the week of October 25th that will provide instructions on how to use Remo.
